Mission: 

The importance of consistent Epic use for research is a matter of regulatory and operational compliance. Achieving a common, high quality Epic use plan for all studies will foster efficiencies in study management allowing for the much anticipated growth of research work at Children’s Hospital Colorado.

Epic Training is required for all those administering patient care research at Children’s Hospital Colorado.

Epic courses available: 

  • Computer Based Training (CBT) Research Primary Investigators
  • Research Administration for Ambulatory
  • Research Coordinators for Ambulatory
  • Research Coordinators for Inpatient
  • Outpatient Research Schedulers

Understanding Epic functionality and workflows is the responsibility of all clinicians performing research.

In the event of a technical or functional issue, the following resources are available for questions and issue investigation:

Operational Imperatives for All Studies

  • All studies must be appropiately set-up and approved for research at Children's Hospital Colorado through our research set-up process which is facilitated by the Research Institute (RI).
  • All require consistent budgeting and Research Service Requests – these processes may be supported by the RI's Protocol Specialist.
  • All require the development of an Epic Use Plan. This plan is coordinated with the CAS resources as part of the research pipeline process.

Epic is the Research System of Record
While we continually work to develop Epic’s functionality, as a guiding principal, it must be used for research.  Therefore, research projects that involve patient visits must be tracked within Epic.  At a minimum, research visits must be scheduled using Epic and those outpatient visits must be documented within Epic.       

Utilize System Protections for Research Patients
ALL research encounters within Epic are protected and placed behind Break the Glass (BTG).  The best effort you can make to protect a research participant’s information and privacy is to document research information within the research encounter ONLY.  Each participant must have a scheduled research visit and research encounter such that documentation can be placed on a progress note within the research encounter in Epic.

To sign up for research coordinator training:

  1. Visit PlanetTCH, select HR Express and sign in.
  2. Select the link CAS/EPIC Training Enrollment.
  3. In Course Name, enter Amb and click Search. This will pull up the ambulatory classes.

Prerequisite #1 (CAS/EPIC Training): 8 Hour Class. Ambulatory Fundamentals TTE211

Prerequisite #2 (CBT): Inpatient for Epic Trained CBT
